Ousland Colliard Explorers AS ("we", "us", "our") is responsible for the personal data we collect when you make a booking, request an expedition, sign up for one of our courses, or otherwise contact us. This policy explains what we collect, why we collect it, how we store and protect it, and the rights you have over your information.

 

We are the data controller for the personal data described in this policy.

1. The information we collect

When you make or enquire about a booking, we may collect:

  • Contact details — name, email address, postal address, telephone number, and country of residence.

  • Booking details — the expedition or course you have selected, dates, group size, and any preferences or special requests.

  • Identity and travel documents — passport number, date of birth, nationality, and travel insurance details, where required for international expeditions and border crossings.

  • Health and fitness information — medical history, current health conditions, dietary requirements, allergies, prior expedition experience, and physical fitness, where this is needed to assess suitability and to keep you and the team safe in the field.

  • Emergency contact details — the name and contact information of a person we can reach on your behalf.

  • Payment information — billing details and the records needed to process and account for your payment. Card details are handled by our payment provider and are not stored by us.

  • Correspondence — the content of emails, contact-form submissions, and other messages you send us.

 

2. How we collect your information

We collect personal data directly from you when you complete a booking or contact form on ouslandcolliard.com, when you email or call us, and during the booking and preparation process. In some cases we may receive your personal data from a third party acting on your behalf — for example, a partner or agent who books on your behalf, or an emergency contact you have named.

3. Why we use your personal data, and our legal basis

We process your personal data for the following purposes:

  • To process and manage your booking and deliver the expedition or course — Legal basis: Performance of a contract

  • To assess your suitability for an expedition and to plan for your safety in the field — Legal basis: Performance of a contract; explicit consent for health information (see section 4)

  • To communicate with you about your booking, logistics, and preparation — Legal basis: Performance of a contract

  • To keep accounting and tax records — Legal basis: Legal obligation

  • To improve our services and the security of our website — Legal basis: Legitimate interests

  • To send you news, offers, or updates, where you have asked to receive them — Legal basis: Consent

Where we rely on consent, you can withdraw it at any time (see section 9). Withdrawing consent does not affect processing carried out before the withdrawal.

4. Health and other sensitive personal data

Some of the personal data we collect about your health, fitness, and medical history is treated as a special category of personal data under the applicable data protection laws. We collect it only where it is necessary to assess whether an expedition is suitable for you and to plan for your safety and the safety of the group.

 

We process this data on the basis of your explicit consent, which we ask for at the point you provide it. You are not obliged to provide health information, but without it we may be unable to confirm your participation in an expedition or course.

5. Who we share your personal data with

We do not sell your personal data. We share it only where necessary, with:

 

  • Our guides and expedition team, who need relevant booking, health, and emergency-contact information to lead the expedition safely.

  • Processors (service providers) who process personal data on our behalf, including our website and hosting provider, our email and document provider, and our payment provider. These providers act only on our instructions and are bound to protect your information.

  • Travel, logistics, and accommodation partners, where this is needed to arrange flights, transfers, permits, or lodging connected to your expedition.

  • Insurers and medical or rescue services, where necessary in connection with your safety or an emergency.

  • Public authorities, including border and customs authorities, where we are legally required to provide information for international travel.

6. International transfers

Some expeditions take place outside the European Economic Area (EEA), and some of our processors may process information outside the EEA. Where information is transferred outside the EEA, we take steps to ensure it is protected by an appropriate safeguard recognised under data protection law, such as an adequacy decision or standard contractual clauses. 

7. How long we keep your personal data

We keep your personal data only for as long as necessary for the purposes set out in this policy or as required by applicable laws to which we are subject to .

When personal data is no longer needed, we delete it or securely anonymise it.

8. How we protect your personal data

We use appropriate technical and organisational measures to protect your information against loss, misuse, and unauthorised access. Access to your information is limited to those who need it to do their work or to deliver your expedition.

9. Your rights

Under the applicable data protection laws, you have the right to:

 

  • access the personal information we hold about you. This means you can request that we provide you with a copy of personal data we process about you and with additional information about how we process your personal data;

  • ask us to correct information that is inaccurate or incomplete;

  • ask us to delete your information in certain circumstances;

  • ask us to restrict or object to how we use your information in certain circumstances;

  • receive certain information in a portable format;

  • withdraw consent where we rely on it.

If you are not satisfied with how we have handled your information, you have the right to lodge a complaint with the Norwegian Data Protection Authority (Datatilsynet), www.datatilsynet.no which is the competent data protection authority for processing handled by us, or a data protection authority in your country of residence.
